1. Organizer and Scope 

1.1 The organizer of the CPS Symposium 2026 (hereinafter the “Event”) is DSA Daten- und Systemtechnik GmbH, Pascalstraße 28, 52076 Aachen (hereinafter the “Organizer”). 

1.2 The Event will take place in Aachen on 3 and 4 November 2026 and is a professional event aimed at participants from industry, science and academia, including students. 

1.3 These Terms and Conditions of Participation apply to all registrations as a Participant. Any terms and conditions of the Participant or of a registering company that deviate from these Terms and Conditions shall apply only if the Organizer has expressly agreed to their applicability in text form. 

2. Registration and Conclusion of Contract 

2.1 Registration takes place via the online registration process provided by the Organizer or another registration method expressly offered by the Organizer. 

2.2 The presentation of the Event and the available tickets does not constitute a binding contractual offer. By completing the registration, the person registering submits a binding offer to enter into a participation contract. 

2.3 The contract is concluded upon receipt of the Organizer’s registration confirmation in text form. 

2.4 If a company, university or other institution registers a participating person, the registering organization is the contracting party and is responsible for payment. 

2.5 The number of Participants may be limited. An entitlement to participate arises only upon confirmation by the Organizer. 

3. Services Provided by the Organizer 

3.1 The nature and scope of the services are determined by the Event description applicable at the time of registration, the ticket booked and the registration confirmation. 

3.2 Where provided for the relevant Participant category, participation includes in particular access to presentations and program items, exhibition and networking areas, and the catering specified in the Event description. 

3.3 Travel, accommodation, parking fees and other personal expenses are not included in the participation fee unless expressly agreed otherwise. 

4. Participation Fee and Payment 

4.1 The applicable participation fee is determined by the ticket selected during registration. 

4.2 All participation fees stated are net prices and are subject to the applicable statutory value added tax, where applicable. 

4.3 Payment of the participation fee or agreed charges shall be made, at the option of the person registering, using one of the payment methods offered during the registration or booking process. Where both online payment and payment by invoice are offered, the person registering may choose between these options. 

4.4 For payment methods offered online, the Organizer uses the external payment service provider Stripe. If a payment method offered via Stripe is selected, the technical processing of the payment is carried out via Stripe. The debit or execution of the payment is governed by the payment method selected and the relevant payment transaction. 

4.5 To the extent necessary to execute, confirm and process the payment, the required payment and transaction data will be processed as part of the payment transaction and transmitted to, or processed by, Stripe. The Organizer receives the information required for performance of the contract and confirmation of payment. 

4.6 If payment by invoice is selected, the participation fee or agreed charge becomes due upon receipt of the invoice and must be paid, without deduction, within the payment period stated therein to the account specified in the invoice. 

4.7 Further information on the processing of personal data in connection with payment processing, in particular regarding recipients, categories of personal data, legal bases, retention periods and any transfers to third countries, is provided in the Privacy Policy for the CPS Symposium. 

4.8 Where a payment method offered via Stripe is used, Stripe’s terms and privacy notices may additionally apply insofar as they are made available to the person registering during the payment process. 

4.9 If a Participant does not make use of individual services or parts of the Event, there is generally no entitlement to a pro rata refund. 

5. Networking Dinner 

5.1 The CPS Symposium includes a Networking Dinner with limited capacity. For persons with a confirmed dinner place, participation in the dinner is included in the participation fee at no additional charge. 

5.2 Registration for the CPS Symposium does not automatically create an entitlement to participate in the Networking Dinner. 

5.3 During registration, Participants may indicate their interest in attending the Networking Dinner. An entitlement to attend arises only upon the Organizer’s express confirmation of a dinner place. 

5.4 The Organizer is entitled to reserve allocations for certain groups of Participants, in particular Speakers, invited guests and sponsors. Any remaining places shall be allocated subject to available capacity. 

5.5 If the available allocation has been exhausted, the Organizer may place further interested persons on a waiting list and reallocate places that become available. 

5.6 Failure to use a confirmed dinner place does not create an entitlement to a partial refund of the participation fee. Participants are requested to release any dinner place they no longer require without undue delay. 

6. Cancellation and Substitute Participants 

6.1 Cancellations must be declared to the Organizer in text form, in particular by email. Receipt by the Organizer is decisive. 

6.2 No cancellation fee will be charged for cancellations made up to and including 30 days before the start of the Event. For cancellations made 29 up to and including 14 days before the start of the Event, 50% of the agreed participation fee shall be payable. From 13 days before the start of the Event, and in the event of a no-show, 100% of the agreed participation fee shall be payable. 

6.3 The Participant remains entitled to prove that the Organizer suffered no loss or a substantially lower loss. 

6.4 Instead of cancelling, a suitable substitute may be designated free of charge up to the start of the Event, provided that the substitute meets the requirements of the booked Participant category. Any price differences must be settled. 

6.5 Any statutory rights of withdrawal, termination or revocation shall remain unaffected. 

7. Consumers and Students 

7.1 The Event is designed as a B2B and academic professional event. Where a natural person, in particular a student, enters into the participation contract for purposes that can predominantly be attributed neither to that person’s trade nor to that person’s self-employed professional activity, mandatory consumer-protection provisions may apply. 

7.2 Mandatory statutory consumer rights are not restricted by these Terms and Conditions of Participation. Where a statutory right of withdrawal exists for a specific contract, the Participant will receive the legally required information separately. 

8. Program Changes 

8.1 The Organizer is entitled, for objectively justified reasons arising after conclusion of the contract, to make changes to the Event program, in particular to change presentation times or the order of program items, replace Speakers or cancel individual contributions, provided that the overall character of the Event is not materially altered. 

8.2 Such reasonable changes shall not entitle the Participant to a reduction of the participation fee or to cancel the registration. 

9. Relocation, Change of Format and Cancellation 

9.1 The Organizer may reschedule or relocate the Event, hold it in another reasonable Event format or cancel it for good cause. Good cause includes, in particular, force majeure, official orders, significant safety risks, failure or unavailability of the venue, or comparable circumstances. 

9.2 If the Organizer cancels the Event in full, participation fees already paid will be refunded. 

9.3 In the event of a material change to the date, venue or Event format, the Organizer shall inform Participants without undue delay and, unless the change is merely minor, provide a reasonable opportunity to cancel free of charge. 

9.4 Any further claims, in particular claims for reimbursement of travel, accommodation or other consequential costs, shall exist only in accordance with statutory liability provisions. 

10. Event Materials and Recordings 

10.1 Presentations, talks, illustrations, videos, Event materials and other content provided may be protected by copyright or other intellectual property rights. 

10.2 The provision of such content grants permission solely for personal use or internal use within the relevant company or institution, unless more extensive rights of use are expressly granted. 

10.3 Publication, reproduction, distribution, commercial use or making such content publicly available is not permitted without the consent of the respective rights holder. 

10.4 Participants may not make their own photographic, film or audio recordings of presentations without the prior consent of the Organizer and the respective Speaker. 

10.5 The Organizer may record presentations and make them available online in accordance with the rights of use agreed with the respective Speakers. Participants have no entitlement to the provision of specific recordings. 

11. Photo, Film and Audio Recordings During the Event 

11.1 Photo, video and audio recordings may be made during the Event for the purposes of event documentation, reporting and public relations. 

11.2 Participants’ personal data will be processed for the initiation, administration and performance of the participation contract and for the organization of the Event in accordance with applicable data protection laws. 

11.3 The Organizer is the controller within the meaning of the GDPR. Audio, photographic and film recordings will be made during the Event. These serve the Organizer’s documentation and public-relations purposes (e.g. reports, social media, print). The legal basis is our legitimate interest to Art. 6(1)(f) GDPR; admissibility is additionally governed by Sections 22 and 23 of the German Art Copyright Act (KUG). Overview and situational images in which individuals appear only incidentally, or images showing crowds, may be used without consent provided that no legitimate interests of the persons concerned conflict with such use. Close-up and individual images, as well as the use of identifiable persons for advertising purposes, will be made only with prior consent. You have rights to information, access and erasure, as well as a right to object under Art. 21 GDPR. 

12. Liability 

12.1 The Organizer shall have unlimited liability for damage arising from injury to life, limb or health insofar as such damage is caused by an intentional or negligent breach of duty by the Organizer or its legal representatives or vicarious agents. 

12.2 For other damage, the Organizer shall have unlimited liability in cases of intent and gross negligence. 

12.3 In the event of a slightly negligent breach of material contractual obligations, liability shall be limited to the foreseeable damage typical for the contract. Material contractual obligations are obligations whose performance is essential for the proper performance of the contract and on compliance with which the contracting party may regularly rely. 

12.4 In all other respects, the Organizer’s liability for slight negligence is excluded. Mandatory statutory liability provisions remain unaffected. 

13. Conduct During the Event 

13.1 Participants must comply with the venue’s house rules and with legitimate safety and organizational instructions issued by the Organizer and the venue operator. 

13.2 The Organizer may exclude Participants from further participation in the event of serious or repeated violations, endangerment of other persons or material disruption of the Event. 

14. Data Protection 

14.1 Personal data will be processed for registration, contract administration and conduct of the Event in accordance with applicable data protection laws. Further information is provided in the separate Privacy Policy for the CPS Symposium. 

14.2 Inclusion in a list of Participants and its provision to other Participants or partners shall take place only where there is a legal basis for doing so or, where required, with the relevant consent. 

15. Final Provisions 

15.1 The law of the Federal Republic of Germany shall apply, excluding the United Nations Convention on Contracts for the International Sale of Goods (CISG). Mandatory consumer-protection provisions remain unaffected. 

15.2 For all disputes arising out of or in connection with this contractual relationship, the courts in Aachen shall have jurisdiction where the Participant is a merchant, a legal entity under public law or a special fund under public law. If the Participant has no general place of jurisdiction in Germany, the courts in Aachen are agreed to have jurisdiction over all disputes. Mandatory exclusive places of jurisdiction remain unaffected. 

15.3 Should any individual provision of these Terms and Conditions of Participation be or become invalid, the validity of the remaining provisions shall remain unaffected. The same shall apply in the event of a contractual gap.
